Privacy Policy Overview

How we collect, process, and secure personal data.

OSOS/Omega processes personal data (e.g., name, email, IP address) to respond to inquiries, deliver newsletters, analyze traffic, and send verification links for account access. Data handling follows the GDPR and relevant EU regulations.

Verification emails and newsletters are delivered via the SMTP services of IONOS (1&1 IONOS SE, Germany). Only your email address is transmitted, and processing stays within the EU under GDPR safeguards.

User data is stored on MongoDB Atlas servers in the AWS Frankfurt (eu-central-1) region. While primary storage resides in the EU, some metadata may be processed elsewhere under MongoDB’s global infrastructure.

Lawful Bases for Processing

GDPR-aligned legal grounds that underpin our data handling.

  • Consent (Art. 6(1)(a)): Opt-in newsletters and marketing.
  • Contract (Art. 6(1)(b)): Providing platform access, demo onboarding, and account verification.
  • Legal obligations (Art. 6(1)(c)): Compliance with tax or regulatory requirements.
  • Legitimate interests (Art. 6(1)(f)): Operating our services securely, handling inquiries, and essential communications with registered users.

Data Retention & Storage

We retain personal data only as long as needed for the purposes outlined above, unless longer retention is required by law. Data related to verification is stored briefly to enable login. Email logs are processed by IONOS within the EU, and MongoDB Atlas applies its own retention policies for data stored on our behalf.

Your GDPR Rights

  • Access, correction, or deletion of personal data.
  • Restriction or objection to processing.
  • Data portability.
  • Withdrawal of consent at any time.
  • Right to lodge a complaint with a supervisory authority.

Providing your email address is required for secure account creation and login since verification emails are central to our process.

Advertising & Newsletter Practices

Promotional emails may be sent to demo users and customers under legitimate interest (Art. 6(1)(f) GDPR) unless you opt out. Newsletters are only sent with explicit consent, which can be withdrawn at any time.

Both advertising emails and newsletters use IONOS infrastructure located in the EU, keeping your data within GDPR protections during transmission and storage.

Refer to the IONOS privacy policy for additional details on how they process data.
